Cryptshare for Notes is an add-on for IBM Lotus Notes that connects to the Cryptshare server which is a pre-requisite. It will take the attachments out of your e-mail messages, store them securely on the Cryptshare server and place comprehensive download information in the messages to be sent to the recipient. Recipients can send back large files to you using Cryptshare's web frontend.
Cryptshare for Notes makes the use of Cryptshare more convenient since you are using your normal e-mail workflow. Sent items will be stored in your users' mailfile folder structure if you wish.
Cryptshare for Notes provides an easy and secure alternative for users rather than simply prohibiting files above a certain size, off loading this work from your e-mail servers, this also benefits users who no longer need to be inhibited about sending large files.
Cryptshare for Notes offers three modes of operation:
Automatic mode
Set up server-side rules in your Domino Directory or using any third-party product that can apply rules to mail routing. Simply define which messages shall be processed by Cryptshare for Notes. If a users sends an e-mail that is being processed by Cryptshare according to the rules, the user will receive a notification.
Manual mode using a SmartIcon
To allow users to make sure that a message will be sent via Cryptshare in any case (even if server-side rules would not apply), you can provide your users with a SmartIcon that can easily be rolled out. Clicking on the SmartIcon, the Cryptshare e-mail form will open allowing you to write your message, attach your files and set the options for your secure transfer.
Manual mode using a Widget
The Cryptshare for Notes Widget in the Notes Client's sidebar provides a third alternative to send files via Cryptshare. You can drag&drop files from other Notes applications quickly into the Widget, enter recipient addresses, subject, text and set transfer options very easily without having to leave the application you are currently working in.
The three operating modes can be used in any combination.
There are three ways of using Cryptshare for Notes. You can have e-mails processed automatically by Cryptshare for Notes based on rules that you set up on server side. In addition to that, you can provide your users with a SmartIcon and/or a Widget they can use to initiate a Cryptshare transfer manually.
Automatic mode
To use the automatic mode, two databases need to be installed on your Domino Server. One database (Cryptshare.nsf) processes the e-mails you want to send via Cryptshare, the other database logs all events. Both databases monitor each other for availability.
You need to set up a rule in your Domino Directory's mail routing settings (or in any other third-party product that can apply rules to your e-mail routing scheme) to move e-mails that fulfill the defined rules into Cryptshare.nsf. Criteria can be message size, number of attachments, senders, recipients, keywords etc. That's all. No changes are required to any standard Lotus Templates.
Cryptshare.nsf comes with pre-defined settings and texts that you can use out of the box or change if you want to.
Manual mode using a SmartIcon
If you want to allow your users to decide themselves to send attachments via Cryptshare, you can provide them with the Cryptshare SmartIcon. The SmartIcon will convert a Lotus Notes e-mail into a Cryptshare message or create a new, empty Cryptshare message if you prefer. This SmartIcon can be rolled out using an e-mail with an installation routine in form of a button that users can click on to install.
The SmartIcon will be available in the "Universal" SmartIcon bar. Using the SmartIcon, you can enable users to send files via Cryptshare even if they would not be covered by the rules set in Automatic mode (e.g. because their size is under the defined limit).
Manual mode using Cryptshare Widget
If you are using widgets, you can add a Cryptshare Widget into your Lotus Notes sidebar. The widget is a minimalised Cryptshare for Notes message form. Using the widget, it is very easy to drag & drop files or text elements from Lotus Notes databases or other sources on your desktop into a new Cryptshare enabled message. You can deploy the Widget using the Domino Widget Catalogue.
Cryptshare server requirements
Cryptshare for Lotus Notes is an add-on to your existing Cryptshare solution. To be able to use Cryptshare for Lotus Notes, a Cryptshare server/appliance/virtual appliance of version 2.4.0 or higher is required.
